Client Project Terms
How Rule9 manages project work, quotations, approvals, revisions, payments, timelines and deliverables.
These terms apply to all marketing, design, campaign, print, landing page, form, kiosk app, dashboard and digital support projects provided by Rule9. They should be read together with our Terms of Service and Privacy Policy.

Project Scope
Every project starts with an agreed scope. The project scope may be confirmed through a quotation, proposal, invoice, email, written brief or written project confirmation.
The scope may include:
- Services to be provided and deliverables
- Number of concepts, pages or screens
- Number of revision rounds
- Required client content and technical requirements
- Estimated timeline, payment terms and exclusions
Only the work specifically included in the agreed scope is included in the project price.
Quotes
Quotes are based on the information available at the time of quoting. If the client changes the brief, adds requirements, delays the project, requests extra deliverables or provides new information that affects the work required, Rule9 may issue a revised quote. Quotes are valid for the period stated. If no validity period is stated, quotes are valid for 14 calendar days.
Deposits and Project Start
Rule9 may require a deposit before work begins. A project will only be scheduled once the required deposit, written approval and required starting information have been received. Deposits reserve project time and may be non-refundable once work has started or time has been allocated.
Unless otherwise agreed, Rule9 may use the following payment structure:
- 50% deposit before work begins
- 50% balance before final handover, launch, deployment or release of final files
For smaller projects, full upfront payment may be required.
Payment
Invoices must be paid by the due date stated on the invoice. Where no due date is stated, payment is due on receipt. Rule9 may pause work, withhold final deliverables, delay launch or suspend support until overdue payments are received.
All prices are quoted in South African Rand unless otherwise stated. Third-party costs, subscriptions, hosting, domain fees, printing, advertising spend, stock assets, paid fonts, software licences or platform charges are not included unless specifically stated.
Revisions
Each project or package may include a set number of revision rounds. A revision round is a reasonable set of changes to the submitted work within the agreed brief.
Revisions do not include:
- A completely new concept or campaign direction
- A new layout after approval
- Additional pages, screens or design options
- New form logic, integrations or copywriting requirements
- Changes outside the agreed scope
Extra revisions may be billed separately.
Feedback and Approvals
Clients are responsible for providing clear, consolidated feedback. Where possible, feedback should be provided in one message or document per revision round. Conflicting feedback, delayed feedback or feedback from multiple decision-makers may delay the project.
Once work is approved, any further changes may be treated as additional work.
Client Content and Materials
Clients are responsible for providing all required content and materials unless copywriting, photography, asset sourcing or content creation is included in the quote. This may include:
- Logo files and brand guidelines
- Copy, product information and service descriptions
- Contact details, pricing and photographs
- Legal disclaimers, API access and platform login details
- Campaign information and artwork
Rule9 is not responsible for delays caused by missing or incomplete client content.
Accuracy of Information
Clients are responsible for checking all content before approval. This includes spelling, grammar, phone numbers, email addresses, website links, prices, product names, service details, legal disclaimers, print specifications, form fields, campaign dates and terms and conditions.
Rule9 is not responsible for errors approved by the client.
Design Projects
For design projects, Rule9 will provide the deliverables stated in the quote. Design work may include logos, brand assets, social media graphics, campaign graphics, flyers, brochures, company profiles, catalogues, print-ready artwork, digital artwork and promotional assets.
Unless specifically included, design projects do not include printing, photography, copywriting, stock purchases, paid fonts or unlimited revisions.
Print-Ready Artwork
Where Rule9 prepares print-ready artwork, the client is responsible for approving all final artwork before printing. Rule9 is not responsible for print errors, colour variation, trimming issues, production delays or supplier issues once artwork has been approved and sent to print. Clients should request a proof from their printer where appropriate.
Landing Pages and Campaign Pages
Landing pages and campaign pages are built according to the agreed scope.
Unless specifically included, they do not include:
- Full website builds or ongoing maintenance
- Hosting fees, domain registration or paid advertising setup
- Advanced SEO, complex integrations or long-term support
- Unlimited content changes
Additional pages, sections, tracking setup, forms, dashboards or integrations may be quoted separately.
Forms and Lead Capture Tools
Forms and lead capture tools are built around the agreed fields, logic and submission requirements. Changes to form structure, conditional logic, file uploads, data storage, integrations or notification workflows after approval may be quoted separately. Clients are responsible for ensuring that their use of collected information complies with privacy and marketing laws.
Kiosk Apps
Kiosk apps are designed for tablet, touchscreen, event, in-store or campaign use.
Unless specifically included, kiosk app projects do not include:
- Hardware supply, device management or physical installation
- Long-term technical support or offline functionality
- App store submission or advanced security testing
- On-site staffing
Clients are responsible for providing devices, internet access and on-site supervision unless otherwise agreed.
API Dashboards
API dashboards depend on the availability and reliability of third-party APIs. Clients are responsible for providing API access, documentation, credentials and permission to use the relevant data.
Rule9 is not responsible for:
- API downtime, changes or rate limits
- Incorrect third-party data or removed API access
- Third-party permission issues or external system errors
Changes to API structure or dashboard requirements may be quoted separately.
Timelines
Project timelines are estimates unless confirmed as fixed in writing. Timelines may change due to late payment, late feedback, missing content, scope changes, third-party delays, API access issues, printing delays, platform issues or client approval delays.
Rule9 will make reasonable efforts to meet agreed timelines, but cannot be responsible for delays outside its control.
Rush Work
Rush work may be accepted at Rule9's discretion. Urgent turnaround may attract an additional rush fee. Rule9 may decline rush work where the timeline would compromise quality or delivery.
Paused or Inactive Projects
If a project becomes inactive due to missing content, delayed feedback, unpaid invoices or client unavailability, Rule9 may pause the project. If a project remains inactive for an extended period, Rule9 may require a revised timeline, revised quote or restart fee before continuing.
Cancellation
If a project is cancelled before work begins, Rule9 may refund any amount not yet earned or allocated, subject to the terms of the quote. If a project is cancelled after work has started, Rule9 may retain the deposit and invoice for any additional work completed. Completed work, planning, concepts, design time, development time, consultation, project management and allocated production time may be billable.
Ownership and Handover
Final ownership of approved deliverables transfers to the client only once full payment has been received. Until payment is received in full, all work remains the property of Rule9.
Unless specifically included, handover does not include:
- Source files, editable design files or raw working files
- Development repositories or internal tools
- Reusable code components, templates or licensed assets
- Paid fonts
Source files or editable files may be quoted separately where available.
Portfolio Use
Rule9 may display completed work in its portfolio, social media, proposals or marketing material unless the client requests confidentiality before work begins. Rule9 will take reasonable care not to disclose confidential information.
Ongoing Support
Ongoing support, maintenance, updates, monitoring or reporting are not included unless specifically stated. Support after project completion may be quoted separately or handled through a monthly support agreement.
Acceptance of Project Terms
By accepting a quote, paying a deposit, approving work or instructing Rule9 to begin, the client accepts these Client Project Terms.
